KYB Process — Sole Proprietor / Direct Video Identification

This document provides detailed step-by-step instructions, with visual aids, to help you successfully complete the KYB process for a sole proprietor business account through video identification. Video identification means that you complete the second verification phase — confirming the sole proprietor’s identity — entirely remotely, through a live video call with an operator, without the need to visit a physical location.

Step 1: Starting the KYB Process

After successfully registering and logging in to your AX CRYPTO profile, a banner will appear stating “To access trading features, please complete KYB.” Click the “Complete KYB” button to start the process (Figure 1).

Step 2: Entity Type, Language and Verification Method

A “Select option” window will appear. Under “Choose entity type,” select Sole Proprietor. Under “Choose language,” select the language in which you want to complete the process. Under “Choose verification method,” select Video Identification, then click the “Confirm” button (Figure 2).

Step 3: Selecting a Verification Device

A screen will inform you that the process works better on a mobile device, and you can continue in the following ways (Figure 3):

  • Via mobile device: scan the displayed QR code, or click the “Copy link” button and open thecopied link on your phone
  • Via computer: click “Continue on desktop”

Step 4: Entering Business Information

After selecting a device, fill in all required information (Figure 4), including:

  • Full name of the sole proprietor’s business
  • Business registration number
  • Tax identification number
  • Country of incorporation
  • Address of incorporation: street, number, floor/apartment, city, and zip code
  • Postal address (if different from the address of incorporation)
  • Business activity code and description
  • Business activities (selected from a checklist)
  • Purpose and intended nature of the business relationship
  • Source of funds
  • The issuing bank of the sole proprietor’s business account
  • Expected volume of transactions (RSD)
  • Full name of the sole proprietor (personal name)
  • Personal identification number of the sole proprietor

At the end of the form, indicate whether you are a domestic or foreign state functionary within the meaning of the applicable Law, and confirm that you have prepared a filled in, signed and stamped Politically Exposed Person (PEP) Statement — available via the link shown on screen — which you will be asked to upload in the next step (Figure 5).

Step 5: Additional Documentation

You will be redirected to a screen where you need to upload the Business Registration Document (Figure 6).

After the upload completes, the screen will show the next required document, the Statement on Politically Exposed Person (PEP) Status. Once uploaded, click “Continue” (Figure 7).

Step 6: Current Account Verification

On the next screen, “Bank account registration,” enter your bank account number in the three-part format used for local bank accounts, then click “I have the document ready” once you are prepared to attach proof of the account (Figure 8).

Then attach proof of the current account under “Proof of bank account” (Figure 9). This can be:

  • a copy of a bank statement with your name and account number clearly visible,
  • a screenshot from your banking app showing your name and account number, or
  • a written bank confirmation listing you as the account holder along with your account number.

Note: If you are using a debit or credit card for verification, the submitted image should show only the current account number and your first and last name, while the 16-digit card number must be covered.

After uploading, click “Finish” to submit your request (Figure 9).

Step 7: Completion of the First Verification Phase and Request Processing

You will see a confirmation screen stating that the operator is processing your request, that you will be notified by email with a link to continue the process, and that you can close the window in the meantime (Figure 10).

You will also receive a confirmation email titled “AX CRYPTO – KYB Submission Confirmation – Phase 1,” confirming that your KYB request has been received and that you will be notified of the next steps (Figure 11).

Once the operator finishes processing the request, you will receive a second email, “AX CRYPTO – KYB verification of the Sole Proprietor,” confirming that the first phase has been approved. This email asks you to have the sole proprietor verify their identity by clicking the “Verify Identity” button, in order to continue the KYB process (Figure 12).

Step 8: Sole Proprietor Identity Verification

In this step, you need to verify your identity with a document, following a guided sequence shown at the top of the screen: Document type, Front side (and Back side for ID cards), Address (permanent), Address (residential), and Face photo. As in the previous phase, you can continue via mobile device by scanning the QR code or via computer.

First, select the document type issued by your country — Government-issued ID or Passport (Figure 13).

Step 9: Photographing the Document

A “Document image taking” screen will appear with instructions and an example image (Figure 14): take a photo of the ID page only, make sure there are no light reflections or shades on the document, that the photo is not blurry, and that the long edges of the photo frame and the document are aligned.

Your browser will then ask for camera access permission. Select “Allow while visiting the site” (or “Allow this time”) to continue (Figure 15).

Step 10: Photographing the Front of the Document

Position your document inside the frame as shown in the example photo, then press the Space bar or click the “Take a photo” button to photograph the front of your document (Figure 16).

Step 11: Reviewing the Photo and Photographing the Back of the Document

A “Check photo” screen lets you review the captured image against two criteria — no reflections, blur, or shades, and only the photo page should be visible — then choose “Continue” or “Repeat photo” (Figure 17).

If the photo does not meet these criteria, you will be redirected back to the photographing screen.

After successfully photographing the front:

  • ID cards: Photograph the back as well, following the same instructions. You will then beredirected to the next screen.
  • Passports: You will be redirected directly to the next screen.

Step 12: Entering Your Residential Address

On the “Permanent address” screen, enter your address, number, floor/apartment, city, region, zip code, and country (Figure 18). Then indicate whether your residential address is the same as your permanent address — if you select “No,” you will be asked to enter a separate residential address on the next screen.

Next, attach a valid “Proof of address” document that clearly shows your name, surname, and address (Figure 19) — for example, an ID card, driving license, property tax assessment decision, or a telephone, electricity, or other utility bill in your name.

Step 13: Photographing the Client’s Face

A “Face photo” screen explains how to take your selfie: keep your face centered in the frame, neither too close nor too far from the camera; make sure your face is fully visible without glare or shadows; look directly at the camera without tilting your head; and keep your entire face clearly visible and in focus (Figure 20). Click “Continue” to proceed to taking the photo.

Stay inside the frame and press the Space bar or click the “Take a selfie” button to photograph your face (Figure 21).

A “Check photo” screen lets you review the result against two criteria — the whole face print should be visible and in focus, and the photo should be free of glare or dark spots — then choose “Continue” or “Repeat photo” (Figure 22).

Step 14: Completion of the Second Phase and Scheduling Video Identification

A confirmation screen then appears stating that the operator is processing your request (Figure 23).

Shortly after, you will receive an automatic email titled “Confirmation of KYC/KYB Documentation Submission” (Figure 24), confirming that your request has been received and that you will be notified in due course about the next steps toward final account verification.

Once your information has been processed, you will receive an email titled “AX CRYPTO – KYC/KYB Video Identification” (Figure 25). The message contains a link for scheduling a video call with an operator. Before the call, prepare the original identification document you used during the process so far, and ensure you have a well-lit space and a stable internet connection.

Step 15: Preparing for the Video Call

Clicking the link in the email will open the “Identity Confirmation” page with an overview of the steps you need to follow: preparing your document, ensuring a working camera on your device, and a sufficiently lit and quiet space, as well as basic guidelines for the procedure itself. When ready, click the “Start video call” button (Figure 26). If you have not already done so, you will need to allow access to your device’s camera and microphone in order to continue the video identification process.

Step 16: Device Check and Waiting Room

Before connecting with an operator, a “Device Check” screen will appear where you can verify that your camera and audio are working correctly (Figure 27). When ready, click the “Enter waiting room” button.

After entering the waiting room, you will see your current position in the queue and the estimated waiting time for an available operator (Figure 28). While waiting, do not leave or refresh the page — the information updates automatically, and the first available operator will join you shortly.

Step 17: Video Identification with the Operator

Once an operator joins you, the live conversation is recorded, which you will be informed of in advance and asked to consent to. During the video identification, the operator will guide you through several short steps:

  • Consent to recording the conversation — the operator will greet you, introduce themselves, andexplain that the call is being recorded, after which you need to verbally confirm your consent.
  • Document verification — you need to show the identification document you used earlier in theprocess to the camera, and turn it as needed so the operator can verify its authenticity.
  • Identity confirmation — you will receive an SMS message with a verification code to your phonenumber, which you need to enter or state to the operator for confirmation.
  • End of call — once the operator confirms all information, the video session ends, and you will beinformed that the procedure has been successfully completed.

The procedure takes only a few minutes. Make sure to stay within the camera frame throughout the conversation and not communicate with third parties in the room.

Step 18: Completing Verification

After the video call ends, it takes a few more minutes for all information to be processed and confirmed. Once your request is approved, you will receive an email confirming that your account has been successfully verified (Figure 29).

Step 19: Logging in to the Platform

Finally, enter your credentials (email and password) on the “Sign in” page and click “Sign in” (Figure 30).

A CAPTCHA challenge — a slider puzzle you drag to complete — will appear, which you need to solve before continuing (Figure 31).

After successfully logging in, you will land on the platform’s homepage and can use all of its trading features (Figure 32).
