KYB process — Legal entities (LR- Resident) / Personal identification

This document provides detailed step-by-step instructions, with visual elements, to help you successfully complete the KYB process for a business account for a legal entity through personal identification. Personal identification means that you complete the second phase of verification — confirming the identity of the legal representative (LR) — by visiting a selected location in person.

Step 1: Starting the KYB process

After successfully registering and logging in to your AX CRYPTO profile, a window will open notifying you that you need to complete the KYB process in order to access all trading functionalities on the platform. Click the “Complete KYB” button to start the process (Figure 1).

Step 2: Entity type, language, and verification method

As the entity type, select Legal entity, and select the language in which the verification process will continue. In the “Select verification method” field, for this process select the “Verify at a location” option (personal identification), then click the “Confirm” button (Figure 2).

Step 3: Choosing a device for verification

After that, you can continue verification in the following ways (Figure 3):

  • Via mobile device (for a better user experience): by scanning the QR code, or by opening the link you receive by clicking the “Copy link” button
  • Via computer: by clicking “Continue on computer”

Step 4: Entering Business Information

After selecting the device, fill in all required information about the legal entity (Figure 4), including:

  • Full name of the legal entity
  • Registration number
  • Tax identification number (PIB)
  • Legal form of the entity
  • Country of registered seat
  • Registered address (street, number, floor/apartment, city, postal code)
  • Mailing address (if different from the registered address)
  • Activity code and name of activity
  • Business activity
  • Purpose and intended nature of the business relationship
  • Information on the origin of assets/funds
  • Bank of the legal entity's business current account
  • Planned annual transaction amount (RSD)
  • First and last name of the legal representative
  • Personal identification number (JMBG) of the legal representative
  • Location for the legal representative's personal identification

At the end of the form, declare whether the legal representative is a domestic or international public official within the meaning of the relevant legal provisions, and confirm that you have a completed, signed, and stamped Public Official Status Declaration ready, which you download by clicking the highlighted link — you will need to upload it in the next step (Figure 5).

Step 5: Additional documentation

You will be redirected to a screen where you need to upload the Business Entity Registration Document (Figure 6).

After uploading, click the “Next document” button, then upload the completed and signed Public Official Status

Declaration (Figure 7), and click “Continue.”

Step 6: Current account verification

On the next screen, enter the legal entity's current account number — the bank is recognized automatically based on the entered account number (Figure 8).

Then attach proof of the current account: a copy of a statement, a screenshot from a banking app, or a written bank confirmation, clearly showing the legal entity's name and account number. If you use a payment card for verification, its 16-digit number must be covered, so that only the account number and the account holder's first and last name are visible in the uploaded image (Figure 9).

Step 7: Completion of the first verification phase and request processing

A confirmation will be displayed that your request has been successfully received and is currently being processed by our operator (Figure 10). You will also receive an email confirmation stating that the request is being processed (Figure 11).

Step 8: Identity verification of the legal representative

Once the operator finishes processing the request, you will receive an email confirming that the first phase has been approved. That email will ask the legal representative to verify their identity by clicking the “Verify identity” button, so you can continue with the KYB process (Figure 12).

At this step, the legal representative needs to verify their identity using a document, so that they can later complete personal identification at the selected location. Verification can continue, as in the previous phase, via mobile device by scanning the QR code, or via computer.

After selecting the device, select the document type issued by Serbia — ID card or passport (Figure 13).

Step 9: Photographing the document

A screen will appear with clear instructions for photographing the document (Figure 14).

The first time you take a photo, your web browser will request permission to access the camera (Figure 15). Click “Allow while visiting the site” or “Allow this time” so the process can continue.

Step 10: Photographing the front of the document

Click the button with the camera icon or press the spacebar, then photograph the front of the legal representative's identity document (Figure 16) following the previously shown instructions.

Step 11: Checking the photo and photographing the back of the document

After a successful capture, the system displays the captured photo for review and offers the option to continue, or to retake the photo if it does not meet the previously stated requirements (Figure 17). If the document is an ID card, the back is photographed in the same way; if the document is a passport, the user is immediately redirected to the next step.

Step 12: Entering the residential address

Enter the legal representative's residential address (Figure 18).

After that, you need to attach a valid document confirming the entered address (Figure 19) — a scanned identity document data page, or another official document containing residential address information (e.g., vehicle registration, a property tax assessment decision, a phone or utility bill, or a written statement given under full material and criminal liability).

Step 13: Photographing the legal representative's face

A screen with instructions for photographing the face will open (Figure 20).

The legal representative takes a photo of their face by pressing the spacebar or clicking the “Take photo” button (Figure 21).

After capturing, check whether the photo is correct and click “Continue,” or “Retake photo” if the capture does not meet the shown requirements (Figure 22).

Step 14: Entering ultimate beneficial owner information

The next step relates to entering information about the legal entity's ultimate beneficial owners — natural persons who directly or indirectly hold 25% or more of the shares or voting rights in the company, or who otherwise exercise control over the legal entity. Clicking the “Add owner” field opens a data entry form (Figure 23).

If the legal representative is also the sole beneficial owner of the legal entity (holding 25% or more of the shares), they re-enter their personal information at this step, now in the capacity of owner. If the legal representative is not the sole owner, in addition to entering their own information, the same procedure must be repeated for each of the remaining beneficial owners, adding them individually.

The owner data entry form contains the following fields (Figure 24):

  • First and last name
  • Email
  • JMBG / Unique identification number
  • Residency status (Resident / Non-resident)
  • Date of birth and place of birth
  • Document number
  • Residential address (Street, number, floor/apartment, city, postal code)

At the end of the form, you need to state whether the residing address is the same as the residential address, whether the owner is a domestic or international public official, and confirm that you have a completed, signed, and stamped Public Official Status Declaration and Beneficial Ownership Structure Declaration ready, which will need to be uploaded in the next step (Figure 25). Then click “Save.”

The added owner appears in the list (Figure 26). If there are multiple beneficial owners, clicking the “+” icon next to an existing entry adds the next owner and repeats the same data entry procedure. Once all owners have been entered, click “Continue.”

Step 15: Additional documentation for beneficial owners

For each entered owner, a Beneficial Owner Declaration and a Public Official Status Declaration must be uploaded (Figure 27). Accepted document formats are: jpg, jpeg, png, heif, heic, pdf, doc, and docx, with a maximum size of 3 MB per document.

If multiple beneficial owners have been entered, the corresponding pair of documents — Beneficial Owner Declaration and Public Official Status Declaration — must be uploaded for each of them. The “Previous document” and “Next document” buttons are used to move through the list of documents that need to be uploaded for all owners (Figure 28).

Step 16: User verification and final processing

The system displays a message indicating that the collected data is being processed (Figure 29). After successful verification of all entered data and submitted documentation, you will receive an email confirmation that the second phase of the KYB process has been successfully submitted for processing by the operator.

Step 17: Informational notice to other owners

If the request includes other beneficial owners of the legal entity besides the legal representative, they will receive an informational notice at their email address stating that the legal entity in which they hold 25% or more of the shares has submitted a registration request on the AX CRYPTO platform (Figure 30). This notice is purely informational and does not require any action on their part at this stage.

Step 18: Personal identification at the location

You will receive an email informing you that the legal representative can complete personal identification at the selected location (Figure 31), so that the account can use all of the platform's functionalities.

After the legal representative visits the selected location and confirms their identity through personal identification, you will receive an email confirming that the legal entity's account has been successfully verified (Figure 32).

Step 19: Logging in to the platform

Finally, you need to enter your credentials (email and password) on the login page (Figure 33). A CAPTCHA challenge will be displayed, which you need to solve (Figure 34). After successfully logging in to the platform (Figure 35), you can use all of its trading functionalities.
