KYB process — Sole Proprietor (Non-Resident) / Personal identification

This document provides detailed step-by-step instructions, with visual aids, to help you successfully complete the KYB process for a non-resident sole proprietor business account through in-person identification. In-person identification means that you complete the second phase of verification — confirming the identity of the sole proprietor — by visiting the location of your choice in person.


 

Step 1: Starting the KYB Process

After successfully registering and logging in to your AX CRYPTO profile, you will see a notification that you need to complete the KYB process in order to access all trading features on the platform. Click the “Complete KYB” button to start the process (Figure 1).

Step 2: Entity Type, Language and Verification Method

In the “Choose residency” field, select “Non-Resident”. As the entity type, select “Sole Proprietor”, and then choose the language in which the verification process will continue. In the verification method field, select the in-person verification option, and then click the “Confirm” button (Figure 2).

Step 3: Choosing a Device for Verification

You can then continue the verification in one of the following ways (Figure 3):

  • On a mobile device (for a better user experience): by scanning the QR code, or by opening the link you get by clicking the “Copy link” button
  • On a computer: by clicking “Continue on desktop”

Step 4: Entering Company Information

After choosing a device, fill in all the required information (Figure 4), including:

  • Full name of the sole proprietor (business name)
  • Business registration number
  • Tax identification number
  • Country of incorporation
  • Address of incorporation (street, number, floor/apt., city, zip code)
  • Postal address (if different from the address of incorporation)
  • Business activity code and description
  • Business activities
  • Purpose and intended nature of the business relationship
  • Source of funds
  • Issuing bank of the sole proprietor's bank account
  • Expected volume of transactions (RSD)
  • Full name of the sole proprietor
  • Personal identification number of the sole proprietor
  • Location for in-person identification of the sole proprietor

Finally, state whether you are a domestic or foreign state functionary in the sense of the provisions of the law. Then click the link (Figure 5) to download the Politically Exposed Person (PEP) Statement. The document must be filled in, signed and stamped, after which you need to confirm that you have completed these steps.

Step 5: Additional Documentation

You will be redirected to a screen where you need to upload the Business Registration Document (Figure 6), followed by the Statement on Politically Exposed Person (PEP) Status (Figure 7). After uploading the required documents, click the “Continue” button.

Step 6: Bank Account Verification

On the next screen, enter your bank account number (Figure 8).

Then click “I have the document ready” and attach a valid document stating your first and last name along with your bank account number (Figure 9). This can be:

  • a bank statement, or
  • a photo of your bank card showing the account number.

Note: If you are using a debit or credit card for verification, the attached image should show only your bank account number and your first and last name, while the 16-digit card number must be covered. After uploading the document, click the “Finish” button.

Step 7: Completing the First Phase of Verification and Request Processing

You will see a confirmation (Figure 10) that your request has been successfully received and is currently being processed by our operator. You will also receive an email confirmation (Figure 11) that your request is being processed.

Once the operator completes processing your request, you will receive an email confirming that the first phase has been approved. In this email, you will be asked to verify your identity as the sole proprietor by clicking the “Verify Identity” button in order to continue the KYB process (Figure 12).

Step 8: Sole Proprietor Identity Verification

In this step, you need to verify your identity with a document so that you can later complete in-person identification at the selected location. As in the previous phase, you can continue the verification on a mobile device by scanning the QR code, or on a computer by clicking the corresponding link.


 

Step 9: Selecting the Document Issuer

As a non-resident, after choosing the device to continue the verification, you need to search for and select the country that issued your identification document from the list (Figure 13).

Step 10: Selecting the Document Type

After selecting the document issuer, choose your document type — “Government issued ID” or “Passport” (Figure 14).

Step 11: Photographing the Document

You will see a screen with clear instructions for photographing the document (Figure 15), along with a prompt to allow camera access (Figure 16).

Step 12: Photographing the Front Side of the Document

Click the “Take a photo” button with the camera icon or press the Space key, and then photograph the front side of your identification document (Figure 17) following the instructions shown previously.

Step 13: Checking the Photo and Photographing the Back Side of the Document

After the document has been photographed, the system gives you the option to continue or to repeat the photo if it does not meet the conditions listed above (Figure 18). To retake it, click “Repeat photo”.

If the document photo is not successful, you will be redirected back to the photo screen.

After successfully photographing the front side of your:

  • Government issued ID: Photograph the back side as well, following the same instructions. You will then be redirected to the next screen.
  • Passport: You will be redirected to the next screen right away.


 

Step 14: Entering the Permanent Address

Enter your permanent address and state whether your residential address is the same as your permanent address (Figure 19).

You then need to attach a valid document confirming the address you entered (Figure 20). The document must clearly show your first name, last name and permanent address details.

Acceptable documents include:

  • an official document showing your permanent address (a printout of your read ID card, a driving license or a property tax assessment decision), or
  • a telephone, electricity or utility bill in your name.

Allowed document formats are: jpg, jpeg, png, heif, heic, pdf, doc and docx, with a maximum size of 3 MB.

Step 15: Entering the Residential Address

If your residential address is not the same as your permanent address, you then need to enter your residential address details — country, address, number, floor/apt., city, region and zip code (Figure 21).

You then need to attach a document confirming your residential address in the Republic of Serbia (Figure 22). This can be a certificate of residence registration for a foreigner issued by the competent police station, or another official document containing your first name, last name and residential address. If such a document is not available, you can attach other proof of your residential address — a lease agreement, accommodation confirmation, utility bill, or a written statement given under full material and criminal liability.

Allowed document formats are: jpg, jpeg, png, heif, heic, pdf, doc and docx, with a maximum size of 3 MB.

Step 16: Photographing the Client’s Face

After entering your permanent address and, if required, your residential address, a screen with instructions for taking a face photo will open (Figure 23). After reading all the instructions shown, click the “Continue” button to proceed with the verification process.

Click the “Take a selfie” button or press the Space key to take a photo of your face (Figure 24), then check that the photo is correct (Figure 25). If your whole face is visible and in focus, and the photo is without glare or dark spots, click the “Continue” button.

If the photo does not meet these requirements, click the “Repeat photo” button. After a successful photo, clicking “Continue” will take you to the next step.


 

Step 17: Completing the Second Phase and Scheduling In-Person Identification

You will then see a final confirmation (Figure 26) that your request is being processed by our operator. You will receive an email (Figure 27) informing you that you can complete in-person identification at the selected location, so that you can use all features of the platform.

Step 18: In-Person Identification at the Location

After you visit the selected location and confirm the identity of the sole proprietor in person, you will receive an email confirming that your account has been successfully verified (Figure 28).

Step 19: Logging In to the Platform

Finally, enter your credentials (email and password) on the login page and click the “Sign in” button (Figure 29). You will be shown a CAPTCHA challenge that you need to solve (Figure 30). After successfully logging in to the platform (Figure 31), you can use all of its trading features.
